1. Scope of this Policy
This Privacy Policy explains how TransferTrack collects, uses, discloses, retains, and protects personal information when you use the TransferTrack website, waitlist, mobile application, Advisor, community features, subscriptions, and related services (collectively, the "Service").
TransferTrack is an independently operated service. For purposes of this Policy, "TransferTrack," "we," "us," and "our" refer to that business.
This Policy does not apply to information that is not personal information under applicable law. It also does not cover aggregated, anonymized, or deidentified information that is not reasonably capable of being associated with or linked to a specific individual.

2. Information we collect and how we use it
We collect information you submit directly, information created when you use the Service, and limited technical records needed to provide, secure, measure, and improve the Service.

3. Advisor and AI processing
Advisor is TransferTrack's AI assistant. Your full Advisor chat history is stored only on your device. When you send a message, TransferTrack transmits your current question, the recent messages needed for context, and the profile fields shown to you before you submit, such as current school, transfer-target school, major, and start term, to a third-party AI provider that generates the response.
TransferTrack does not store the contents of your Advisor messages on its servers in a form linked to you. The records we keep to operate Advisor, such as message counts, timestamps, plan tier, and reliability metrics, are anonymized and cannot be traced back to your name, email, or account.
The AI provider processes your message only to generate your response, and its handling of that data is governed by its own terms. TransferTrack does not use your prompts to train AI models.
4. Information that remains on your device
Your course and GPA ledger, budget, transfer application tracker, scholarship applications, and scholarship-eligibility answers are stored only on your device, along with your full Advisor chat history. TransferTrack does not receive this information unless you deliberately submit it through Advisor, and then only the parts described in the Advisor section above.
7. Control over your information
You may request access to, correction of, or deletion of personal information we hold about you. You may also withdraw waitlist consent or opt out of marketing emails. Send requests to support@transfertrack.org. We aim to respond to privacy requests within 30 days.
To delete your account in the app, go to Settings, tap Delete account, and confirm. If you cannot access the app, email support@transfertrack.org from the address on your account and ask us to delete it.
Deleting your account does not cancel an active app-store subscription. Active subscriptions should be managed through your device subscription settings.
8. Data retention
We keep account data until your account is deleted or as otherwise needed to provide the Service. Account deletion removes personal data from our systems, including profile, transfer route, community content, course reviews, subscription metadata, and Advisor usage records, subject to the exceptions below.
When you delete your account, we begin deleting your ordinary account data from active systems immediately and complete that deletion within 30 days. Limited information may be kept longer when the law requires it, or while an unresolved safety report, fraud or chargeback review, or legal matter is open, and only for as long as that reason applies. Content that was reported or removed for moderation is generally purged within 90 days. Waitlist records are kept until you unsubscribe, ask us to remove them, or waitlist outreach is complete.
9. Community safety and moderation
To post, comment, or leave a course review, you need a community profile and an account in good standing. Users can report content or block another user from the relevant in-app menu. We aim to review reports within 48 hours and may remove content, limit accounts, or preserve records where needed for safety, fraud, legal, or abuse-prevention reasons. 10. Security
We protect your information with encrypted network connections, we restrict access to production systems to authorized personnel, and we limit our service providers to the information they need to provide their services.
No method of storage or transmission is ever completely secure. If a security incident affects your personal information, we will notify affected users and report to regulators where the law requires it.
11. Region-specific disclosures
Depending on where you live, you may have rights to know, access, correct, delete, or receive a copy of personal information we maintain about you. You may exercise these rights by emailing support@transfertrack.org.
California residents may request to know, access, correct, or delete personal information. We do not sell personal information or share personal information for cross-context behavioral advertising, as those terms are used under California law.
12. Children's privacy
TransferTrack is intended for users 18 and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us personal information, email us and we will take appropriate action.
13. Changes to this Policy
We may update this Policy from time to time as TransferTrack evolves. When we do, we will update the date above. If changes are significant, we will notify users when appropriate.
